Children and Kids Birthday Party Checklist

KIDS-PARTY TIPS These are in no specific order, they can be applied to Parties at Home as well as at a Venue.

___Take extra carrier bags to the venue to put presents in to take home.
___Plan extra activities and games, it’s better to have too many than not enough. Have a couple of extra prizes on hand if you play more games.
___Put names on party loot bags so you know who’s got what
.
___
Make up a couple of extra loot bags for brothers, sisters of guests who might stay unexpectedly.
___
Always check off guests as they arrive on your guest list.
___Use stick on name badges for each guest, your child will know everyone, but will you.
___Don’t use pins or safety pins for badges as these are potentially dangerous.
___You might want to play the same game 2 or 3 times if everyone enjoyed it, but don’t over do the same game.
___Party helpers need specific tasks, if they don’t they will either all do nothing or all want to do the same thing.
___Children under 3 yrs of age have a short attention span so keep activities short and lively.
___Make sure your Kids Party doesn’t clash with any other event eg Mothers day, Easter Sunday.
___Check for School holidays, dreadful to organise a Party and everyone’s away.
___Don't forget to have the matches handy (but out of reach of children!) to light the cake candles
___Remenber new batteries and film for the camera. Give someone the job of taking the photos so you can concentrate on the party.
___Have enough extra plates to wrap Birthday Cake in if giving out to guests at the end of the party.
___Have on hand cling film, foil to wrap food in after the Birthday Party. Use paper plates cups etc then throw away , it cuts down on washing up.
___Do your Party food and drink at the venue it's easier for you.
___Don’t forget to label prizes, parcels etc for games, so you know what’s what.
___Make up a loot bag for the Birthday Child (I know ! but you know what Kids are like)!!!
___Let the Birthday Child wear their favourite clothes to the Party, unless it's a theme party,
___Always get to the venue early, especially if your going to decorate.
___Keep loot bags out of sight from guests until the end, if they see them they will only want them there and then.
___Tell Party guests where the washroom are, you don’t want any accidents.. do you!
___Ask if any of the party guests have any special dietary requirements eg allergies to nuts, orange squash to be advised when RSVP.
___Advise on suitable type of clothing for the party, if applicable, on the invitation, eg country western theme party at a horse farm etc......
___Put the names of each guest on cups to avoid misunderstandings.
___Always have on hand cloths for wiping faces and hands (it’s amazing what kids can do with ice cream).
___Always be specific about what time the party ends.
___Try your best to get All the Party guests together for one big photo.
___If you are having a party outside always have a plan “B” just in case the weather changes and it pours down with rain.
___ If you are having games in the house, remove any ornaments or things that could get broken to a safe place. Don’t want Grannies crystal vase being the next jigsaw puzzle.
___Never redecorate your house for a Kids Party always do it afterwards.

___It's easier for YOU to go to a Venue that can do everything for you for all ages: food, drink, games, rides( pony and horse rides, haywagon rides etc...), dancing, D J and music , clowns, indoor party room, outdoor park for games and animals( petting zoo ) etc....... and Mom! You won't even have to Clean Up after your party. Plus Your House stays Neat and Clean.

SIX TO EIGHT WEEKS BEFORE:

___Do you need to choose a theme or is it a themed venue eg Country Western Party at a Horse Farm.
___Check on availability of venue (book early to avoid disappointment) and get a deposit in to firm date.
___If you have not been to the venue yourself plan a visit to see it or get references.
___Contact venue and arrange date and time.
___Have a list of questions ready to ask.
___Cost per child, minimum number of children, maximum number of children.
___What the party includes food and deink, what you have to provide (Cake etc.. ) , do you have to take anything with you,

___How many adults do you need to supervise?
___How long will the party last, can you decorate the venue?
___Get a contact name at the venue. Confirm all details in writing to the venue.
___Confirm with the Birthday child names of guests to invite, (where ever possible find out surnames there’s nothing worse than having 3 Johns in a class and giving the invitation to the one your child dislikes).
___Send out invitations to match your theme ( Country Western Theme - Cowboy or Cowgirl ). Keep a list of names addresses and telephone numbers of party guests. Put on RSVP to……… tel………..by date………..
___Are you having an entertainer at the venue eg a Clown. Telephone and check on availability for date and time of party.
___Have a list of questions ready to ask.
___Are they available, how long does their act last, how much do they charge?
___Do they need you to provide anything eg power points. Confirm all details in writing
___Plan your menu, consult the birthday child as to what they would like to eat pizza, hot dogs etc....
___Write down your menu.
___If you are catering yourself check out pack sizes at the supermarket and work out how much you need to buy.
___Check on selection of Birthday cakes.
___Decide if you are taking children in your car , will there be enough room for party accessories, prizes, balloons as well, or do you need to enlist help.
___Will the venue serve food and beverages, do they clean up after?
___Do they want a deposit for crockery, glasses etc, how much do they charge?
___Decide if you want a buffet style,or pizzas, hot dogs, pop corn, ice cream etc......
___Do you need tablecloths, plates, cups?
___Do you need cutlery for eating or serving food, serving plates or trays,
Candles for the cake, matches, cake knife,
___Extra cloths (for mopping up), bin bags (for tidying up),
___Streamers signs and balloons,
___Prizes for any games or activities, party loot bags, contents for loot bags.
___Do you want a special Birthday Cake made or are you going to buy one. If you are having a cake made contact cake makers, they should be able to show you samples or pictures of the cakes they supply, do specify the date you need the cake for, order early as for some cakes the icing will need time to set.
___Give them the correct spelling of your child’s name to avoid mistakes.
___Are you going to have music at your Kids Party if so do you need CD or cassette player
___Consult the Birthday child as to the music to be played
___Locate power points and someone designated to “look after” the music.
___Plan your activities and games, rides (pony or horse rides)(hay rides), moon bounce, petting zoo, clowns, dancing etc....with the Birthday child, write down the list of activities and games.
___Will you need any props for the games?
___Select suitable Prizes for the games.
___Do you need any extra adult help with games.
___Plan to have help at your Kids Party, other Mums, Dads to help etc. You can’t be everywhere.
___List out specific tasks you wish each person to do for you eg, Arwen to take coats, Edward to check guests off on the list and issue name badges, Jane to set out food, Shaun to hand out loot bags etc.
___Are you going to video the party?
___Do you have a camcorder, if not can you hire one, check out the local stores for costs, availability, length of hire
___Balloons, every Kids Party needs balloons . How many do you need?
___How long will it take you to blow them up, do you wish to hire a helium gas bottle usually available from balloon suppliers, will they deliver or do you have to collect.
___Make sure you have found your camera and have extra film, do you need new batteries.
___Kids are always photogenic, opportunities not to be missed. (especially when shown again on their 18th birthday).
___Decorations, can you gain access to the venue beforehand to decorate, if so how much time will you be allowed?
___Do you need someone to help you, confirm with the venue.
___Plan a day to do the Party shopping, take your list with you.

ONE WEEK BEFORE

___Check the guest list and follow up on non receipts of RSVP’s to get a final count.
___Prepare a final list of the menu items,
___Finalise the games or activities to be played,
___Prizes to be given out for all games, dance contest etc.......
___Contents of loot bags
___Music to be played.
___Shop for non food items needed, eg plates serviettes tablecloths etc.
___Do the food shopping either go to the supermarket (sounds like hard work) or shop on line and they deliver to your door like Iceland do ,(heaven), they really are wonderful people.
___Confirm with venue time for food and beverage, games, clown, rides, cake times etc......
___Entertainer time,
___Birthday Cake makers,
___People to help,
___Time of arrival ,
___Time of collection,
___Time of delivery etc
___Wrap presents, prizes, parcels for any games and activity.
___Make up loot bags for each guest.
___Write a “to do” list for the Party day.
___Decide what the Birthday child and you are going to wear at the party if it's a theme party ( Country Western Party, Cowboy or Cowgirl ) what do you need to get it ready.

KIDS PARTY DAY

___Happy Birthday to the Birthday Child.
___Open presents and cards.
___Food and Drink time confirmed with venue.
___Organise your helpers.
___Blow up balloons at the venue it's easier (Helium tank needed from venue)
___Make sure you eat something before the party.
___Make your way to the venue, give yourself plenty of time ( open gifts etc... ).
___Set and decorate tables,
___DJ to start music.
___Welcome guests as they arrive.
___Tell the guests what is going to happen eg games and rides.
